Zoom integration

Connect your Zoom account and every meeting and webinar starts feeding the history of your contacts: who registered, who showed up and how long they stayed — right next to purchases and website activity.

The integration is read only. CrazyLeads never creates, changes or cancels anything in your Zoom account, does not join meetings, and does not access audio, video, recordings, transcripts or shared files.

Before you start

  • A CrazyLeads account with access to a project.
  • Whoever authorizes must be an administrator of the Zoom account. That is what allows reading the meetings of the whole team, and not only those of the person who clicked.
  • A free Zoom account works: meetings, participants and registrations arrive in real time. The history of past meetings, however, is only delivered by Zoom on paid accounts.

How to add

Step 1

Create the data source

In CrazyLeads, go to Data Sources → Add source and pick Zoom. Give the source a name and confirm the suggested identifier — it defines the name of the tables that will be created.

Step 2

Review what will be collected

The next step lists the tables the source creates and what each one answers: the sessions that happened, each person’s attendance, the registrants and their answers, the account users and the chat messages.

Step 3

Authorize on Zoom

Click Connect with Zoom. A Zoom window opens with the list of permissions — all of them read only. Once you authorize, the window closes by itself and the wizard shows the connected account. No password and no token ever pass through CrazyLeads.

Step 4

Choose the frequency and finish

Set how often the history is refreshed and click Finish. Meetings that happen from then on arrive in real time, independently of that frequency.

How to use

Anyone who attends a meeting with an identified email address becomes a contact in your database. The attendance shows up on their timeline, with the meeting name and how long they stayed.

Chat messages only exist when the host records the meeting to the Zoom cloud (a paid plan feature) and keeps the save-chat option enabled. Zoom only makes available the messages sent to everyone — private messages are not recorded.

Source detail

Shows the connected account, the last event received and how many rows each table has.

Debugger tab

Lists the raw events as they arrive — this is where you confirm the connection is working.

Audiences

You can segment by attendance: everyone who registered for a webinar and did not show up, or everyone who stayed until the end.

What is read from your account

Every requested permission is read only. Each one exists to fill in a part of the timeline:

Meetings and webinars

Title, host, start and duration of each session that happened — this is what names the event on the timeline.

Attendance

Who joined and left each session and how long they stayed. Without it there is no way to tell who attended from who merely registered.

Registrations

Who registered, what they answered in the Zoom registration form and whether the registration was approved, denied or cancelled.

Account users

The list of hosts, used only to know whose calendars to read meetings from.

Cloud recordings

Only the meeting chat file, when it exists. Audio, video and transcripts are not downloaded.

How to remove

It can be done from either side, and either one ends the integration:

From Zoom

Go to marketplace.zoom.us/user/installed, find CrazyLeads and click Remove. Zoom notifies CrazyLeads, which stops collecting and deletes the data originated from your account.

From CrazyLeads

On the source detail, open Settings and remove the source. The authorization is revoked in the Zoom account and the tables it created are dropped.

On receiving the deauthorization notification, CrazyLeads stops collecting immediately, discards the stored credentials and deletes that account’s data within the window required by Zoom.

If something does not arrive

No events show up

Open the Debugger tab right after a meeting. Attendance events only exist for meetings that happened after the connection.

Participant without email

Zoom only reports the email of people who joined authenticated or registered. An anonymous guest shows up in the attendance count but does not become a contact.

Empty history

The past meetings report requires a paid Zoom plan. Real time keeps working.

Reconnection requested

Happens when the authorization is revoked or expires. Open the source and click reconnect.
